When do you need a custom report?
READERP's ready-made reports (cash, receivables, revenue, stock, payroll, cash conversion cycle, reconciliation) cover most companies' core management questions. But some questions are specific to a company:
- Profit and loss by department or branch
- Cost center breakdown
- Cost tracking by project or contract
- A monthly summary pack for the board
- Profitability by dealer or region
In most companies, these reports are rebuilt by hand in Excel every month. Custom financial reports move that work onto READERP's validated query infrastructure.
Expense breakdown and income statement
The most frequent request for custom reports is reading operating expenses correctly. Knowing the rules of the accounting ledger is essential here:
- Operating expenses must be separated from cost of sales. In the Turkish Uniform Chart of Accounts (Tekdüzen Hesap Planı), research and development, marketing-sales-distribution, general administrative and financing expenses are operating expenses. Direct materials, direct labor and manufacturing overhead are cost of sales. A definition that mixes the two makes operating expenses look bigger than they are.
- Year-end closing entries must be handled separately. At period end, expense accounts are closed out through transfer (reflection) accounts. A report that nets by account can show items as zero or negative in this period. The right method is to total the debit and credit sides separately.
- Opening and closing entries are not expenses and must be kept out of scope.
Because READERP was written with these rules, the expense breakdown comes item by item, with year-end entries cleaned out. Cumulative, quarterly and monthly views are produced from the same data.
How is a custom report built?
- The question is clarified: We discuss which decision the report will serve and who will read it.
- The definition is written: Which accounts will be counted, for which period and under which rules is set down in writing and approved together with your finance team.
- The query is written and validated: It is tested on your data and compared with known figures.
- It is signed and added to the catalog: The read-only and security rules apply to custom reports exactly as they do to the rest.
From then on, the report opens in the panel, arrives by scheduled email, and can also be asked about from the plain-language questions screen.
What READERP does, and doesn't do
READERP reads actuals correctly: income statement items, expense breakdown, cash conversion cycle, working capital. On the revenue side, you can enter a target and track actuals against it. However, work such as line-by-line budget models, scenario analysis and consolidation belongs to enterprise planning software. The two don't conflict; they come in sequence: actuals must first be read correctly, and READERP's output can also feed a planning tool.
