Why does business email matter?
When a company sends a proposal from a free email address, it leaves a small but real question mark on the recipient's side. Business email on your own domain goes beyond looking professional and brings concrete benefits: the addresses belong to the company, correspondence doesn't disappear when an employee leaves, mailboxes are managed centrally, and the security settings are under your control.
That said, business email can be set up wrong too. The problems we see most often are proposals landing in the recipient's spam folder, someone being able to send fake email in your company's name, different folders showing up on the phone and the computer, and a full mailbox that nobody notices until email stops arriving. Nearly all of these are solved with proper setup and maintenance.
There is no single right platform for business email. For a team of a few people, a mail service running on the same server as your website may be enough; if you need calendar sharing, large attachments or many users, a cloud-based business suite may be a better fit. SPF, DKIM and DMARC: deliverability and spoofing protection
These three settings are identity checks added to your domain's DNS records that tell receiving servers "this email really comes from this company." SPF states which servers are allowed to send email in your name. DKIM adds a digital signature to every message. DMARC decides what happens to messages that fail these checks and sends you reports.
If these settings are missing, your emails can land in spam, and fraudsters can send fake invoices or payment requests in your company's name. Since 2024, the major email providers have been enforcing these identity checks much more strictly; today, a domain that isn't set up correctly will quite commonly run into delivery problems.

Lossless email migration
When switching from another provider or an old server, the biggest worry is losing past correspondence. We plan the migration as copying existing mailboxes, folders and sent items to the new system, switching DNS at a suitable moment, and collecting any email that arrives during the switch with a final sync. Most of the time, your employees simply carry on one morning with new settings.

Business email is used in Outlook or a similar program on the computer, in the built-in mail app on the phone, and in the browser through webmail. When it's set up with the right protocol (IMAP), messages that are read, deleted or moved look the same on every device. We have a domain but use Gmail for email. Is switching difficult?
No. The mailboxes are created, your old email is migrated if you want, and the DNS settings are configured. With a planned switch, your workflow isn't interrupted.
Why do our emails land in the recipient's spam folder?
The most common reason is missing or incorrect SPF, DKIM and DMARC settings. Server reputation and message content also play a role; we start by checking your domain's settings.
What happens to a departing employee's email?
Before the mailbox is closed, the email is archived or handed over to a manager; if needed, incoming messages are forwarded to another mailbox for a while.
