If you run a boutique hotel, a guesthouse or a city hotel, direct bookings are probably one of the things you think about most. Online travel agencies (OTAs) bring you guests, that is true; but they take a commission and largely keep the guest's contact details and their next stay for themselves. The goal isn't to give up on agencies, but to use them as a shop window while pulling a steadily larger share of bookings to your own site.
Your guest may have already found you
Many guests see your hotel on an agency site and then type your name into a search engine. At that point, what influences their decision is what your site shows them. If your site loads slowly, doesn't show prices or says "call us to book," the guest goes back to the agency and completes the booking there. So the first rule of direct bookings is not to lose the guest who has searched for you and found you.
Your site needs:
- A booking box on the first screen that works with date and guest selection
- Real photos of room types, with their size and amenities
- Honest information about the location, getting there and nearby places
- Cancellation and payment terms stated clearly
- A design that loads quickly and is easy to use on a phone
Booking engine and channel manager
Let's explain two concepts simply. The booking engine is the system on your site where guests pick dates, reserve a room and pay. The channel manager is the tool that distributes room availability and prices to all agencies and to your own site at the same time.
If these two aren't connected to each other and to your property management system (PMS), two problems arise: the same room gets sold through two channels, meaning overbooking; or the front desk, afraid of that risk, keeps availability on its own site closed. Either way, direct bookings are lost. Connecting these systems reliably is an integration job and the foundation of direct sales.
Does your hotel's price appear on Google?
Google shows a price comparison area in hotel searches, and hotels can list their own site's price there. According to Google's hotel product documentation, free booking links and paid hotel ads are separate options. To appear in this area, your booking engine or channel manager needs a connection to Google.
It is important here for your site's price to be consistent with the price on the agencies. If a guest sees the same room cheaper on an agency site, their trust is shaken. Review your pricing policy together with your agency contracts.
What persuades guests to book direct?
The appeal of booking direct isn't only about price. What makes a difference in the guest's eyes:
- Trust: A secure payment page, 3D Secure verification and the hotel's real contact details.
- Flexibility: Easier changes or cancellations.
- Small perks: Touches reserved for guests who book on the site, such as late check-out, a welcome treat or a room preference.
- Direct communication: A warm connection with the guest by WhatsApp or email after booking.
Listing these perks briefly right next to the site's booking box is often enough to win over an undecided guest.
Returning guests, meanwhile, are the easiest source of direct bookings. Reaching out to a past guest, with their permission, with a short and personal message before the next season is often more effective than letting them search on an agency site again. All it takes is keeping your guest records in one place, in good order.
Protect and use guest data
The biggest gain from direct bookings is the relationship you build with the guest. But that relationship must be built by the rules. The information collected for a booking must be explained in a privacy notice; sending campaigns and newsletters requires separate consent. Transactional messages, such as pre-stay information and arrival details, should be kept separate from marketing messages.

How we do it at Globya
In hotel projects, we first review the PMS, channel manager and booking engine you use together with you, and see where each one falls short. We build and monitor the site, the booking flow and the connections between systems with a single point of contact. You will find our industry-specific approach on our tourism and hospitality page, and the site's general structure on our corporate website page.
Frequently asked questions
Should we leave the agencies completely?
Usually not. Agencies are especially strong at reaching new guests. The goal is to use them as a shop window while steering returning guests, and those who search for you directly, to your own site.
Do we need to replace our current booking engine?
Not always. In most cases, placing the engine better on the site and fixing its connection with the channel manager is enough. If a change is needed, we will tell you why.
Should our site also be in foreign languages?
If you host international guests, yes. Having the booking steps work in the same language and in the guest's currency also builds trust.
