Let your field team see the same screen as the office.

Service technicians, installation crews and field sales reps spend most of the day away from the office. Every detail lost between paper forms, WhatsApp photos and phone calls comes back later as an invoicing, warranty or customer satisfaction problem.

A field team app is a mobile tool that lets staff working outside the office see their work orders on their phones, record the work they did with photos and signatures, and have that information reach headquarters instantly. It sounds simple, but when it is not set up well, the team sees it as "one more burden" and goes back to old habits. In this article we explain how to think about an app that actually works for service, installation and field sales teams.

What gets lost in the field today?

In most companies, the field process goes like this: in the morning the office sends addresses by phone or message, the technician does the job, sends photos from their own phone, brings the paper service form back in the evening, and someone enters it into the system. Typical losses in this flow are:

  • Which part was installed and how many hours were worked is recorded incompletely and never makes it onto the invoice.
  • When a customer says "nobody showed up that day," you have no time-stamped proof.
  • Photos stay on personal phones and leave when the employee leaves.
  • When someone visits the same customer a second time, nobody knows the history of the previous job.
  • The office only learns where the team is and how much of the day is done by calling.

A good field app exists to close these gaps; the goal is not to monitor staff, but to stop losing information.

The core building blocks of a field team app

Work order list. When technicians start the day, they see that day's jobs in order: address, customer, job description, notes from previous visits. Directions open in the map app with one tap.

Status steps. A few buttons such as "On my way," "Arrived," "Job done," "Waiting for parts." Each step is recorded with a timestamp. Keeping the number of steps small matters; more than five statuses cause confusion in the field.

Photos. Before and after photos are attached directly to the work order. Saving photos in the app's own storage rather than the phone's gallery is right for both organization and privacy.

Materials and labor. Parts used are picked from the stock list and quantities entered. Choosing from a list instead of free text is essential for later invoicing and stock deduction.

Customer signature. A signature drawn with a finger on the screen can be emailed to the customer as a PDF along with the job summary. The need for paper forms largely disappears.

Location. Capturing location only when the status changes is enough for most companies. Continuous live tracking drains the battery and understandably makes employees uncomfortable.

What happens in the field without internet?

Basements, construction sites, factory floors or rural areas: there is not always internet in the field. The app must be able to open work orders, take photos and collect signatures with no signal, and send them automatically once a connection returns. The office side and integration

A field app is not just the screen on the phone. You also need a management panel in the office that creates work orders, assigns them to the team and shows completed jobs at the end of the day. Passing completed jobs to the accounting or ERP system for invoicing, and parts used to the warehouse for stock deduction, is what unlocks the app's real value. These connections are built through integration work.

KVKK and the employee side

A field app processes personal data in two directions: the customer's name, address, signature and whatever appears in photos; and the employee's location and working hours. Under KVKK (Türkiye's Personal Data Protection Law), employees should be told clearly when and why location is collected, location should not be collected outside working hours, and photos should be kept only as long as their purpose requires. Frequently asked questions

Our technicians are not very tech-savvy. Will they adapt?

Yes, if the app has few buttons and follows the order of the work they already know. In the first weeks, a short on-site usage video and a one-page guide are usually enough.

Can it be used on personal phones?

It can, but work data must be kept in the app's own storage so it does not mix with the personal gallery and messaging apps. It is also essential that access can be revoked centrally when an employee leaves.

Why a custom app instead of off-the-shelf field service software?
