Let your dealers order from their phones, not over the phone.

In wholesale, a large share of orders still arrives by phone, WhatsApp message or photos of handwritten lists. A dealer ordering app brings order to this flow, but winning over dealers takes more effort than writing the app.

A dealer ordering app is a mobile tool that lets dealers see their own prices, current stock and account balance and place orders directly from their phones. In a setup where a sales rep takes orders by phone and someone at the office keys them into the ERP, you lose both time and accuracy. Why phone orders are no longer enough

Phone ordering worked well for many years in relationship-driven trade. The problem appears as volume grows:

  • A product code is misheard and a similarly named product is shipped.
  • The dealer orders without being able to check stock, then hears the item is out.
  • Dealer-specific discounts and campaign details live in the sales rep's memory.
  • Orders are squeezed into office hours; the dealer cannot order while closing up the shop in the evening.
  • Accounting has to be called separately for balance and payment term information.

A dealer ordering app takes these tasks off the rep's plate, freeing them to find new dealers and strengthen relationships.

Portal or app?

The first step for dealers is usually a web-based B2B dealer portal, ideal for large orders from a computer at the office. But most dealers are in the shop, in the warehouse or on the road; they want to see what is missing on the shelf and order right then. That is where a mobile app comes in.

The good news: the portal and the app can share the same back end. Prices, stock and account information come from one place, and dealers see the same thing no matter which screen they use. Not everything on this list has to be there on day one, but without prices, stock and quick reorder, dealers will not find the app worth using.

The ERP connection is the heart of it

If the price in the app is wrong or stock lags a day behind, dealers lose trust immediately. That is why a dealer ordering app should talk directly to your ERP for the price list, stock and customer accounts. Incoming orders should also land in the ERP as orders without being retyped by hand. How do you get dealers used to the app?

No matter how good the app is, changing dealer habits takes time. Methods that work:

  1. Start with a few volunteer dealers. Work with five to ten dealers in the first month and refine the app based on their feedback.
  2. Bring the sales rep alongside, not against. If reps think the app will take their job, they will not recommend it to dealers. Crediting app orders to the rep's account removes that worry.
  3. A small app-only perk. Something like earlier shipping slots or app-only announcements; it does not have to be a price discount.
  4. Don't hang up the phone. For a while, both channels live side by side. Over time, each dealer chooses what suits their pace.

  • Price list structure: dealer group, special discounts, campaigns
  • How often stock information can be updated
  • Your ERP's ability to share data externally (service, database, file)
  • Order approval flow: automatic, or after sales approval
  • What happens when a credit limit is exceeded

What if our dealers don't want to download an app?

That is why in most projects we start with a version that opens in the browser and can be added to the home screen. The download barrier disappears, and an app store app can come later if needed.

Can we show different prices to each dealer?

Yes. Dealer groups, special discounts, product-level prices and campaign rules are carried into the app based on the structure in your ERP.

Are orders from the app approved automatically?

That is up to you. A common approach is to auto-approve orders within the credit limit and route those over the limit to the sales team.

How long until it goes live?

It depends on the state of the ERP connection and how complex your dealer rules are. We clarify the need in the first call and provide the timeline and pricing in a written proposal.
