Where does the customer who fills in your form end up?

In many companies, the web form drops into an email inbox and gets lost there. This article shows how to collect requests from forms, chat and phone in one place and make sure none of them slips through.

CRM web form integration means that when someone fills in the contact or quote form on your website, their details land directly in your customer relationship management system, your CRM, as a record. In short, a CRM is the list where you keep every touchpoint with customers and prospects in one place. If the form isn't connected to that list, the request arrives as an email; someone reads it, someone else assumes it has been read, and nobody replies.

Putting effort into ads, content and your website and then losing the requests that come in is the quietest leak in any digital investment. Most of that leak isn't technical; it is a lack of process. The good news is that fixing it usually doesn't require a big project.

Where do requests get lost?

The first step is to list every door requests come through and connect all of them to the same place:

Every record should contain at least: name, contact details, subject of the request, source, time received and assigned owner. For the source, the page address and any ad parameters are carried along with the form as hidden fields. That way you can see which page or campaign actually brings in business.

Assigning an owner and response time

Getting the request into the CRM is half the job. The other half is who responds, and when. Simple rules are enough:

  • Assign by topic: quote requests to sales, support requests to the support team.
  • Assign by region or product group.
  • Send a reminder to the owner and their manager for any record that hasn't been touched within a set time.
  • Send an automatic "we've received your message and will get back to you at this time" reply to requests that come in after hours.

Once they start measuring response time, most companies are surprised by their own speed. You can't improve what you don't measure, so it is important to make the time between a request arriving and the first contact visible in the CRM.

Duplicate records and data quality

The same person may write on different days through different forms. In that case, the CRM should not open a new prospect record but add a new touchpoint to the existing one. Email address and phone number are used as matching keys for this. Storing phone numbers in a single format (differences such as a leading zero or country code) is essential for that matching to work.

The KVKK side

Information from a form is personal data. Next to the form there should be a link to a short privacy notice, as required by KVKK (Türkiye's Personal Data Protection Law); if you will send marketing messages, you need a separate, optional consent for that. Limit access to the CRM to the people who need it, and set a retention period for closed records that have been inactive for a long time.
