B2B Dealer Portal · Pricing

Dealer-specific price lists and account management

Whether a dealer portal earns trust depends on whether the price a dealer sees on screen is correct. Setting up your pricing rules cleanly from the start is the most important part of building the portal.

How is a price built?

At most companies a dealer price is not a single number but the result of a series of rules: the list price, a discount based on the dealer's group, an extra discount based on the product's brand, a tiered reduction based on quantity, and a surcharge for payment on terms. These rules often live in the sales manager's head or in a complicated Excel file. The first step in building the portal is to make them explicit and put them in order.

Example pricing rules

RuleExample
Price listGroup A dealers use List 1, Group B uses List 2
Group discountAn extra percentage discount on all products for Group A
Brand discountAn extra discount on one specific brand, none on the others
Tiered pricingUnit price drops above 10 units
Payment termsDiscount for upfront payment, list price for payment on terms
PromotionA special price on specific products between specific dates

In what order are the rules applied, can they stack, does a promotion override the group discount? The answers to these questions are written down before the portal is built. That way a dealer never sees one price on screen and a different one on the invoice.

Current account and statements

The question dealers ask most is "what's my balance?" In the portal, the dealer sees their current account, open invoices, upcoming payments and past statements on their own. If the data comes from the ERP, the balance in the portal matches the accounting records exactly, and the calls to your accounting team drop noticeably.

Credit limits and approval flow

Each dealer can be given a credit limit. If an order exceeds the limit, the portal follows one of these paths:

  • It accepts the order but holds it for approval, and processing starts once an authorized person approves it
  • It shows the dealer that the limit has been exceeded and offers card payment instead
  • It blocks new orders if there is overdue debt

Which path to choose depends on your company's risk policy; we decide this together with you.

Setup checklist

  • Are all price lists defined, and is it clear which dealer uses which list?
  • Are the order in which discounts apply and the stacking rules written down?
  • Will prices be shown including or excluding VAT?
  • For products priced in foreign currency, which source and what time of day will the exchange rate come from?
  • Has it been decided what happens when a credit limit is exceeded?
  • How will price changes be announced to dealers?

Frequently asked questions

My prices are tied to foreign currency. Can the portal handle that?

Yes. A product can be defined in a foreign currency, and the dealer sees the Turkish lira (TRY) equivalent using the exchange rate source you choose.

Can I set a special price for a single product for one dealer?

Yes. On top of the general rules, a special price can be entered for a specific dealer and product.

I update my price lists every month. Will that be a hassle?

If prices come from your ERP, updates flow through automatically. If not, you can update them in bulk with Excel.
